Privacy policy
This policy explains what personal data Fresh Cleaning & Maintenance (“Fresh”) collects about you, why we collect it, who we share it with, and your rights. It applies to our website (fresh.co.je) and the services we provide to customers and clients.
1. Who is the data controller
Fresh Cleaning & Maintenance, Jersey, Channel Islands, is the controller of your personal data. Contact: ben@fresh.co.je. If you have concerns, you may complain to the Jersey Office of the Information Commissioner (jerseyoic.org).
2. What we collect
We collect and process the following categories of data:
- Enquiry details — name, email, phone, address, service requested, preferred date, any service-specific details (e.g. number of bedrooms for a changeover) and your free-text notes.
- Booking and service history — quotes issued, bookings confirmed, services delivered, invoices raised, payment status.
- Account data — if you sign in to your customer portal, we store your email and an authentication session cookie.
- Technical data — standard server logs (IP address, browser, request time) for security and troubleshooting. We do not use advertising or behavioural tracking cookies.
3. Why we process it
- To respond to your enquiry, prepare a quote, and deliver the service you’ve booked (legal basis: performance of a contract or pre-contract steps).
- To issue invoices and meet our tax, accounting, and legal obligations (legal obligation).
- To operate and secure our website and internal systems (legitimate interests).
- To contact you about your active enquiries and bookings (contract). We do not send marketing without consent.
4. Who we share it with
We share data only with the following categories of processor, and only as necessary to deliver our service:
- Supabase (database and authentication) — Ireland / EU data centres.
- Railway (application hosting).
- Resend (transactional email delivery).
- Google Calendar (team scheduling calendar) — service-account driven; staff only see calendar events relevant to their jobs.
- Intuit QuickBooks Online (accounting and invoicing) — when we push an invoice for a job, relevant customer and transaction details are transferred to QuickBooks.
- Payment providers — where applicable (e.g. Revolut, PayPal) for collecting payments via links you choose to use.
We do not sell personal data. We do not transfer personal data outside the UK/EU/Jersey except to the extent that our sub-processors (principally US-headquartered service providers with appropriate safeguards in place) operate globally.
5. How long we keep it
We retain enquiry and service records for up to 7 years to meet our accounting and legal obligations in Jersey. Account sessions and access logs are retained for a shorter period (typically 30 days) unless needed for investigation of security incidents.
6. Your rights
Under the Data Protection (Jersey) Law 2018, you have the right to access the personal data we hold about you, to request correction or deletion where appropriate, to object to certain processing, and to data portability. To exercise any of these rights, email us at ben@fresh.co.je. We’ll respond within one month.
7. Security
Data is transmitted over TLS and stored on reputable managed platforms. Access to customer records is limited to Fresh staff who need it to do their job. Where possible, we prefer magic-link sign-in over passwords to reduce the risk of credential reuse.
8. Cookies
We use a small number of strictly necessary cookies to keep you signed in and to protect against CSRF. We do not use advertising, analytics or third-party tracking cookies.
9. Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top shows when we last changed it.
